BROCHURE ACCURACY:

• All information given in the Brochure / Itinerary / Sightseeing Tours are based on the information available at the time of publication. We reserve the right to change any brochure / itinerary before or after booking your tour due to any event beyond our control. In case if we will know about any changes before your departure we will update or communicate with you otherwise our Tour Manager or Local Representative will inform you of the changes on the tour.

TIPPING

• Tipping is compulsory. 
• You will have to pay USD 10.00 per person per day for the Duration of your tour. (Applicable on both adult and child) 

BAGGAGE 

• On the tour luggage allowance in the coach will be one handbag and one suitcase per person. 
• Porterage in Any of Tours is not included. It will be passenger’s responsibility to carry their bags to and from the Coach and their room. 

FOOD AND WATER

• Breakfast: Your breakfast is normally a continental or American breakfast which usually will have Tea or Coffee, Juices, Cereals, Milk, Breads, Butter, Jam, cheese.  Some hotels may provide hash brown potatoes or hot potatoes or hot beans. No Indian item or Jain item will be available. 
• Indian Breakfast: In case of Indian Breakfast, you will be taken to the Indian restaurant and not in the hotel you are staying.
• Drinking water: Tap Water throughout the USA is Safe to Consume and therefore request you to carry an empty bottle with you which you can fill whenever you wish to.
• A meal doesn’t include any Water Bottles, Beverages Hard/Soft drinks, Fruit Juices.  

*In the cruise, the meals will be served as per the cruise policy. 

If you are non vegetarian please request us at the time of booking. 

TRAVEL INSURANCE:

• Flamingo strongly advises that you should carry a travel insurance with you, with a minimum of USD250,000 coverage. We will not release any tour documents, unless the insurance copy is submitted to us. 
• Please note the insurance cost is not included in the tour cost. It is going to be additional. 

YELLOW FEVER VACCINATION:

• For Indian passport holders, it is mandatory to take the yellow fever vaccination.
• For USA passport holders, it is recommended to take the yellow fever vaccination. 

DEVIATION CHARGE: 

• If you wish to deviate your tour from the group on return to India the same is permitted. You will have to pay Rs. 10,000/- per person per deviation plus difference of airfare as per availability of the date you wish to travel on. Pre tour deviations are not possible on Group airfare. If you wish to go earlier than Group departure date than you are required to pay the difference of individual airfare and Group airfare.

JOINING DIRECT POLICY:

• International airfare not included. 
• Passengers need to reach to the hotel of first destination on their own. Airport transfers are not included for Direct Joining passengers. 
• Passengers’ tour will end at the hotel in the last city. They need to transfer to airport on their own expense.
• The JD cost does not include the cost of USA visa and Canada visa.

COACH AND COACH CAPTAIN 

• It is strictly not allowed to eat, drink or smoke inside the Coach. 
• Coach Captains are bound by American laws and restrictions about driving hours per day and per week. All itineraries are planned as per them. Therefore it is absolutely essential for passengers to follow the time very strictly and punctually. 
• In some Coaches an emergency washroom is available. Keeping in mind hygiene standards it can be used only in case of severe emergency. We try to make sufficient stops to ensure the comfort of our passengers. 
• For our tours we do have all sizes of coaches such as 30 seater, 49 seater and 55 seater. We choose coach as per number of participants in the tour and we tend to use full capacity of our coach with no seat or hardly a seat or two empty in the coach. 
• Our coaches will not have any WIFI facilities on board the coach. 

PAYMENT POLICY:

• Initial deposit - Rs. 50,000/ + USA visa fees to confirm you’re booking with us. 
• 2nd Payment –Rs. 1, 00,000 while applying for Canada Visa.    
• 3rd Payment - Rs.  1, 00,000/- 75 Days Prior to your Departure. 
• 4th Payment – Rs.  1, 00,000/- 45 Days Prior to your Departure.
• 100% payment to be made at least 30 Days Prior to your Departure.
• The initial deposit money will be towards the INR portion. 
• The USD component will never be freezed. ROE will be considered on the date of payments given, towards USD portion.

CANCELLATION CHARGES PER PERSON:  

• 60 Days or more prior to Departure Rs. 50000/-
• 59 Days to 35 Days prior to Departure  Rs.85000/-
• 34 Days to 07 Days prior to Departure  75% of the Tour Cost
• With 7 Days of Departure   100% of the Tour Cost

REFUNDS:

• There will be no refund on utilized services. 
• Due to reasons beyond our control such as strikes, heavy traffic, rain etc or you did not use services such as Meals, Entrance Fees, Sightseeing Tour, Hotels, cruises, Optional Tours it is clearly understood that there will be no refund due to any reason whatsoever. 
• Any refund (if due) process will take minimum 30 days or the time taken as per the supplier policy on whose services needs to be refunded. 
• Refunds will be given in Indian Rupees and thru Cheque or Bank Transfers only even though payment by cash. 
• If refund is due in foreign currency the rate of exchange will be considered on the day when refund is made and not the day when the payment was made.

MINIMUM PARTICIPATION & TOUR CANCELLATION:

• Tours specified in the brochure / itinerary is subject to minimum participation of paying participants. If the participants are below the minimum prescribed or any unforeseen circumstances beyond our control or without assigning any reason the company reserves right to amend, amalgamate, alter, vary or cancel a tour without incurring the liability to pay any compensation.  
• Under such circumstances amount paid by you will be refunded forthwith after deducting the actual expenses incurred by us like visa, travel insurance and the like but no compensation is payable. All refunds shall be given in Indian Rupees and thru cheque or bank transfers only. 
• If company decides to operate the tour with participation below minimum stipulated or if the participants are required to travel as “individual traveller” the company reserves right to collect additional amount in case any. Persons travelling as individual travellers such cases will not be provided certain services including that of tour manager and the client may travel in the same itinerary with some amendments such as in coach, airport transfers, which re at fixed times etc. 

PLEASE NOTE: 

• Above rates are subject to change without our prior notice. Above rates are subject to availability & confirmation by the airline & hotel. 
• ROE will be considered on the day when you make the payment. 
• The airfare & taxes based on the fare structure existing as on December ’24. Any further increase in airfare due to increase in the fuel price, change in government regulations, taxes, etc., charged by the airline will have to be borne by the passengers. FLAMINGO will not be held responsible for them. 
• Price is valid for minimum 20 Passengers traveling together. Flamingo reserves right to cancel or Change date of departure in case of inadequate members in the Group. 
• Room Rates based on Standard Rooms. Supplement cost will be applicable for Sea Facing /Lake Facing / Deluxe / Suite Rooms. 
• There is No Refund for unutilized Services. 
• All services of the tour including changes in Schedule of mode of travel may have an impact on tour Itineraries and the company reserves a right to change / modify / vary/ alter in the tour Itinerary and/or tour tariff accordingly. 
• Porterage is not included. The passengers have to carry their own luggage from coach to room and rooms to coach on their own. 
• Passengers need to pay baggage handling fees of USD 25-35 per check in bag, per flight for internal sectors, levied by airlines at airport if more than 1 bag per person by themselves. 
• Overseas Medical Insurance is strongly suggestible for your travel. 

SPECIFICATIONS FOR MACHU PICCHU AND INCA TRAIL OPERATIONS

• Machu Picchu is one of the most in-demand destinations, and as a result, tickets, circuits, and time slots sell out quickly. Therefore, we have specific policies in place to guarantee an experience that meets our travelers' expectations. 
• Tickets to Machu Picchu are limited per day, and purchase requests are immediate. To secure a ticket for a specific date and time slot, we recommend making reservations with the following advance notice:
• Individuals (1 to 9 passengers): 60 days or more before the visit.
• Groups (10 or more passengers): 90 days or more before the visit.
• Machu Picchu tickets are non-refundable and non-transferable.
• If access to Machu Picchu is through the Inca Trail, the ticket only includes the visit to the Inca citadel (llaqta).
• If reservations are not made with the recommended advance notice, we will purchase the tickets available at the time, with no guarantee of obtaining the desired date or time slot.
• For all train services to and/or from Machu Picchu, passengers are allowed to carry only one piece of hand luggage (backpack, handbag, or briefcase) weighing less than 11 pounds or 5 kilograms. Any other luggage that does not meet these requirements cannot be transported. We offer luggage storage services if needed, which will be coordinated during the process of designing your itinerary with us.

GENERAL CONDITIONS

• Net rates per passenger. Valid till March 31st, 2026.
• Rates do not apply during the following holidays: Fiesta de la Candelaria in Puno, Holy Week, Inti Raymi (Cusco region during the week of June 24th), Fiestas Patrias (week of July 28th and 29th), PERUMIN in Arequipa (dates to be confirmed), November 1st, Christmas and New Year (from December 23rd to 31st and January 1st), and any long weekends caused by these holidays, congresses, or events in the country. The detailed prices are net per person, according to the type of room requested.

• Accommodation rates exempt from sales tax (IGV: 18%): To qualify for this exemption, passengers must check in at the hotel with their original passport, which must have the immigration stamp, as well as the Andean Card properly stamped by immigration. The identity card is valid only if passengers come from countries belonging to the MERCOSUR treaty and affiliated States.
• Shared services include guiding in Spanish or English.
• There may be alterations in some excursions during festive dates.
• Subject to availability. Accommodation in selected hotels or similar in case of unavailability.
• It is essential to present the passport to board all flights. The identity card is valid only for passengers from countries belonging to the MERCOSUR treaty.
• We need the complete itinerary of the flights and their record locator (PNR). Without this information, we cannot resolve any issues that may arise due to changes in flights by the airline.
• For shared service excursions, specific pick-up points will be established. These points, along with the pick-up times, will be indicated in your final itinerary, and our passenger assistance team will be available for any inquiries. It is important that passengers are ready at the indicated time to ensure a smooth and efficient pick-up process for each excursion.
• We are a company that does not deliver vouchers; all documentation will be sent directly to our suppliers to guarantee the reservation of our passengers.
• Please note that lunch on the Machu Picchu excursion is offered at the local restaurant in Aguas Calientes.
• Breakfasts are included in all our rates. These may have different schedules, which are established according to each hotel's policies, but generally vary between 6:00 am and 10:00 am. Passengers will lose this benefit if they leave before the assigned hours due to flight departures or tour itineraries. An additional charge will be applied for Room Service or box breakfast services.
• When making air reservations, consider that tours in major cities such as Lima, Cusco, and Arequipa have fixed schedules. For passengers visiting the city of Cusco on the same day as their arrival, try to book a flight before noon so that they have time to acclimate to the altitude. 

INCLUDED

• Detailed itinerary upon arrival.
• Accommodation, transfers, excursions, and meals according to the itinerary.
• Entrance fees for the excursions indicated in that city.

NOT INCLUDED 

• Early check-in, late check-out, services, and meals not mentioned in the itinerary, drinks during meals, extras at hotels, personal expenses.
• Domestic and international air tickets.
• Drinks during meals and tips.
• Ticket issuance fee USD$ 15.00 per passenger per ticket.
• Airport taxes. Must be paid in cash before boarding.
• Nazca Lines overflight tax, approximately USD 11.00 per person.
• Visa processing for applicable nationalities.
• Other items not mentioned in the program.

CHILDREN POLICY

• Children between 0 and 2 years and 11 months are considered Infants; the minor travels free sharing a bed with the parents.
• Children are considered children from 3 years to 10 years and 11 months.
• Children from 3 to 5 years old will have a discount of USD 60.00 on the adult rate in double.
• Children from 6 to 11 years old will have a discount of USD 30.00 on the adult rate in double.
• For the rate to be effective, a scanned physical passport must be sent, otherwise the adult rate will apply.
• In the discount, a child traveling with parents in their own bed is considered. If the child wishes to share a bed with the parents, they should consult with their executive to determine if the hotel's policies allow it, and any additional discount, if applicable, can then be applied.

BOARDING BAGGAGE POLICY ON THE TRAIN

• Hand luggage allowed per passenger. Luggage that does not comply with the following measurements will not be boarded:

CORPORATE POLICIES

• The corporate passenger rate will apply to passengers who book 3 or more consecutive nights in Lima. A different rate will be applied compared to the receptive rate, as the purpose of the passengers’ trip is business-related, and the hotels do not apply the negotiated rate.

RESERVATION POLICY

• Due to suppliers' reservation policies, we require:
• Individual: Complete passenger data, at least 15 days before the start of services.
• Groups: Preliminary list of passengers, at least 60 days before the arrival of the group.
• The Monasterio and/or Libertador hotels apply penalties if a name change is made within 30 days before the group's arrival.

FOR JUNGLE PACKAGES

• Due to the changing nature of the jungle, activities may vary day to day due to local weather conditions. The suggested itinerary may vary depending on the flight schedule, so the final itinerary will be confirmed when the flights are confirmed.
